Payments
Once registered for any of The EA Institute’s services, we will send your tax invoice and confirmation email within 48 hours. If payment is not made at the time of booking, an invoice will be sent which is payable 14 days from the date of booking. All payments must be received by the event date. We reserve the right to refuse admission to the event if payment has not been received.
Cancellations, Credits and Substitutions
In the event you are unable to attend the event or service you are registered for, a replacement delegate may be sent or allocated in your place as agreed with the EA Institute at no penalty. Should you wish to cancel your registration, we will provide a full credit to be used for another of The EA Institute’s service or event, provided we receive written notice no later than 7 days from the event.
Your credit must be used within 12 months of the cancelled event/service. No credits will be issued within 7 days of the event/service or in the event of non-attendance on the day. There will be no refunds given, unless cancelled by The EA Institute, where registration fees are fully refundable. In the event The EA Institute needs to cancel or change the date of an event we will notify you as soon as possible. The events, information, and speakers listed on our Sites are subject to change without notification.
The EA Institute will endeavour to ensure that services and events advertised at the time of booking is correct. The EA Institute reserves the right to alter the program or venue prior to the event due to circumstances beyond our control, in which case we will update the event webpage as soon as possible. We also reserve the right to cancel or postpone an event due to an unforeseen circumstance, Act of God or other circumstance which would make the running of the event impossible, illegal or impractical. Act of God circumstances include but are not limited to flood, fire, war, extreme weather or other emergencies and the EA Institute will not responsible for any loss or damage resulting from alteration, postponement or cancellation of event/service.
The EA Institute APAC Admin Awards Terms and Conditions
All enquiries relating to this program are to be addressed to The EA Institute, PO Box 62 KALAMUNDA WA 6926. ABN: 33 625 709 551. You can contact The EA Institute Consumer Services on +61 402 610 501. These Terms and Conditions (“Terms”) apply to all nominations submitted for the Admin Awards (“Awards”) facilitated by The EA Institute Pty Ltd (“Organiser”). By submitting a nomination, nominators and nominees (“Entrants”) agree to be bound by the following:
1. Eligibility
1.1 Entry is open to individuals aged 18 years and over who are legal residents of Australia or with the APAC region and employed in an administrative, executive support, or office professional role.
1.2 Employees of The EA Institute and individuals directly involved in judging or administering the Awards are not eligible to enter.
2. Entry Process
2.1 Nominations must be submitted via the official online entry form by 11.59pm AEST on July 31 2025.
2.2 All required fields must be completed in full. Incomplete, illegible, or late entries may be deemed invalid at the sole discretion of the Organiser.
2.3 Self-nominations and third-party nominations are accepted.
3. Judging and Selection3.1 All valid nominations will be reviewed and assessed by a panel of judges appointed by the Organiser.
3.3 The Organiser reserves the right to verify the eligibility and authenticity of nominations.
3.4 All judging decisions are final and no correspondence will be entered into.
4. Awards and Prizes4.1 Winners will be announced at the Admin Awards event on October 30 2025 and/or via email and social media.
4.2 Prizes or recognition awarded are not exchangeable, transferable or redeemable for cash unless otherwise stated.
4.3 The Organiser accepts no liability for any variation in prize value or availability.5. Publicity and Consent5.1 By entering, Entrants consent to the Organiser using their name, photograph, nomination details and likeness for promotional and media purposes without compensation, including on websites, social media, print, and event materials.
5.2 Entrants agree that any materials submitted may be edited or adapted for use by the Organiser at its discretion.
6. Privacy6.1 All personal information collected will be handled in accordance with the Privacy Act 1988 (Cth) and the Organiser’s Privacy Policy.
6.2 Entrants may request access to or correction of their personal information by contacting info@theeainstitute.com.au.
7. Disqualification and Withdrawal7.1 The Organiser reserves the right to disqualify any Entrant who it reasonably believes has breached these Terms, provided false information, or engaged in unlawful or improper conduct.
7.2 The Organiser may remove or withdraw an award at any time if later evidence suggests misconduct or ineligibility.
8. Liability and Indemnity8.1 To the extent permitted by law, the Organiser is not liable for any loss, damage or injury suffered as a result of participation in the Awards or acceptance of any prize.
8.2 Entrants agree to release and indemnify the Organiser from any claims arising from their participation in the Awards.
9. General9.1 The Organiser reserves the right to amend these Terms or cancel the Awards at any time without notice.
ACCOMMODATION BOOKING TERMS & CONDITIONS 1. BOOKING CONFIRMATION
- This ticket includes one (1) night’s accommodation only at Sofitel Sydney Wentworth
- Booking is confirmed only upon receipt of full payment and issuance of payment confirmation (issued by Humantix)
2. INTERMEDIARY ARRANGEMENT The EA Institute acts solely as an intermediary facilitator for accommodation bookings:
- We will pass your booking details directly to the hotel to secure your reservation
- Once your booking is confirmed, all subsequent queries, changes, or requests regarding your accommodation must be directed to the hotel
- Room allocation is subject to availability at time of booking
- Specific room requests (e.g., twin/double, floor preference) cannot be guaranteed
- The hotel is solely responsible for the provision of accommodation services
- Any issues arising during your stay should be addressed directly with hotel management
- The EA Institute is not liable for any matters relating to the quality, suitability, or provision of hotel services
3. CHECK-IN/CHECK-OUT
- Standard check-in time: 3:00 PM
- Standard check-out time: 11:00 AM
- Valid photo identification and credit card required at check-in for incidentals
- Early check-in and late check-out subject to availability and may incur additional charges and must be discussed directly with hotel
4. INCLUSIONS & EXCLUSIONS Included:
- One night’s accommodation (check in 19/2/2026, check out 20/2/2026) in either a Classic Room or Superior Room
- Breakfast (can be added for an additional fee by contacting the hotel)
- Additional nights’ accommodation
- Incidentals (minibar, room service, telephone, laundry, etc.)
- Parking fees (unless specified)
- Travel insurance
5. CANCELLATION & REFUND POLICY
- All sales are final and non refundable
- No-shows forfeit full payment
- In the unlikely scenario where the APAC Awards is cancelled or rescheduled, a full refund of accommodation booking fees will be provided
- Refunds will be processed within 14 business days of cancellation notification
- EA Institute is not responsible for any additional costs incurred (flights, other accommodation, etc.)
6. TRANSFERABILITY
- Bookings are transferable with written notice direct to the hotel
- Name changes must be notified at least 7 days prior to check-in
7. LIABILITY & RESPONSIBILITIES
- Guest responsible for any damage to hotel property during stay
- Personal belongings are the sole responsibility of the guest
- The EA Institute and hotel accept no liability for loss, damage, or theft of personal property
- Guest must comply with all hotel policies and house rules
8. PAYMENT & PRICING
- All prices quoted in [AUD]
- Prices include GST where applicable
- Credit card surcharges may apply
9. SPECIAL REQUIREMENTS
- Dietary requirements, accessibility needs, or other special requests must be notified direct to the hotel and while reasonable efforts will be made to accommodate requests, they cannot be guaranteed
10. FORCE MAJEURE
- No liability for cancellation or changes due to circumstances beyond reasonable control including but not limited to natural disasters, pandemic restrictions, government actions, or travel disruptions
11. DATA PROTECTION AND GOVERNING LAW
- Personal information will be shared with the hotel for booking purposes and information will be handled in accordance with applicable privacy laws
- These terms and conditions are in conjunction with the policies outlined by Sofitel Sydney Wentworth including the General Terms and Conditions of Service and Privacy Policy
- You acknowledge that you have read, understood, and agree to these terms and conditions.
